The Rental Process

  • Once you have decided you would like to rent a particular property you must make us aware. Butfield Lettings will agree the details of the let (approximate moving date, agreed rent, initial rental period etc.) with the Landlord.
  • Complete a full referencing form (provided by Butfield Lettings). We use an external company to conduct full employer's reference, credit check and previous landlord reference. You MUST make us aware of any bankruptcy, County Court Judgements etc. as this may affect the outcome of the referencing.
  • Return Referencing Forms with the necessary fee (per person) to Butfield Lettings. The referencing fee doubles up as a holding fee. This is non-refundable should you fail the referencing or decide you no longer wish to process with the rental. Once we receive this fee the property will be classed as 'under offer' and no further viewings will be conducted.
  • Upon completion of referencing we will write to you to confirm all details of the proposed tenancy and we will provide you with a breakdown of monies due and the dates that they must be paid by.
  • Prior to move in we will require the following in cleared funds: one month's rent upfront, a deposit equivalent to six weeks rent (eight weeks if you have pets), Agency Admin Fee to cover all administration, your check in and check out. We will also ask you to complete a Standing Order Mandate for the monthly rent.
  • We will require proof of insurance prior to move in (please see page 1 of this document).
  • We will ask you to visit our office at a convenient time to read and sign the tenancy agreement prior to tenancy commencement. This ensures you have a thorough understanding of your obligations as a tenant.
  • We will arrange to meet you at the property on the first day of the tenancy commencement to go through a full schedule of condition. We will ask if you agree the condition and then you will sign and date the document to make it binding. You will be given two sets of keys.
  • If we are managing the property, once you have moved in, we will send you a welcome pack with useful information such as bin collection days and contact numbers for local businesses. We will also transfer the utilities into your name.
  • If we are managing the property, approximately one month after move in we will arrange to come and carry out a property inspection. This is an opportunity for you to make us aware of any maintenance issues that you may have noticed in the first few weeks of the tenancy. We will then conduct inspections every 3-4 months - we must do this to comply with the agreement we have in place with our landlords.
